Outer Banks Rental Policies

Reservations:

To make a reservation simply call us at 1-252-715-1901 or use our toll free number, 1-866-418-5263, between 8:30 a.m. and 5:00 p.m., 7 days a week, for assistance. You can also book on-line at our website www.outerbankscarolinavacationrentals.com. Once your reservation is made, we will mail a Vacation Rental Agreement to you.

Pre-reservations:

Reserve a rental home for next year! By contacting the office you can assure your plans are made in advance. If for some reason your home becomes unavailable, Carolina Shores will do its best to find a comparable home for you.

Partial week rentals:

Carolina Shores offers partial week rentals at some rental homes. Reservations for partial week rentals may be made 30 days in advance. Please contact the office regarding partial week stays.

Payments:

Initial payment will be due, with your lease agreement, within 7 days of booking or the reservation will be cancelled without notice. Initial payment will include one half (1/2) of the rent amount, reservation fee + tax, and optional Travelers insurance. Final payment is due 30 days prior to arrival. Final payment will include balance due of rent amount, security deposit or cost of optional Damage Insurance, taxes, and any additional items (such as pet fee, linen rental). We do not send out a notice for final payment.

Check in:

Check in is at 4:00 p.m. (unless Early Check In at 1:00 p.m. has been confirmed). You will pick keys up at one of our two convenient offices. For homes in Nags Head, Kill Devil Hills, Kitty Hawk, Southern Shores and Duck our office is located at 3600 N. Croatan Highway, Kitty Hawk, NC. For homes in Ocean Sands, Ocean Hill, Whalehead, The Villages of Ocean Hill or four wheel drive areas our office is located at 821 Ocean Trail, Suite #104, Corolla, NC. Late arrivals are asked to call ahead so we may arrange key pick up for you. We ask you do not park at the home while it is being prepared for your arrival, as this slows the process of cleaning, inspecting, etc.

Early Check In:

Some homes (under 6 bedrooms) offer early check-in (1:00 P.M.). If you require early check-in, please add an additional $125.00 + tax to your first payment. If we are not able to accommodate you, because of some unforeseen incident this amount will be refunded to you. Please call in advance of arrival to confirm early check-in.

Check Out:

Check out time is 10:00 a.m. Tenant is required to leave unit clean (items are outlined on check in literature) and to turn keys in to Carolina Shores office. Leaseholder is responsible for removing all trash, washing and putting away all dishware and cookware, removal of all food items from refrigerator and cabinets and for locking all windows and doors.

Occupancy:

Maximum occupancy, per NC Real Estate Commission rules and County Health Dept., will be 2 persons per bedroom (excluding children 2 and under). Home is to be used as a residential dwelling. No weddings, fraternity, school, civic or other groups allowed without prior written permission. Mobile home units are not permitted to be connected to power, water, or used for cooking, etc. Violation of occupancy rules will be grounds for expedited eviction.

Family Groups Only:

The rental property is for the use of family groups only. Leaseholder must be at least 24 years of age. If it is found leaseholder is under 24, or home is occupied by a non-family group, Carolina Shores reserves the right to proceed with an expedited eviction, per N.C.G.S. 42A. No refund will be given for eviction.

Subletting:

Leaseholder is required to occupy the property during the lease agreement, subletting is not allowed.

Pets:

Pets are allowed only in “Pet homes”. Two (2) pets (dogs) per unit maximum with a charge of $95.00(plus tax) per pet. It is suggested pets be crated if left alone at property.

Parking:

Parking of mobile homes and similar type vehicles is not allowed. Many subdivisions will not accommodate this type of vehicle. Parking on a yard is not allowed. Homes on the Outer Banks have septic systems and parking on these will cause damage to the system for which tenant would be held accountable. Street parking, in most areas, is not allowed. Some communities require parking passes (which will be furnished by Carolina Shores). If there is a question about parking, please check with the office in advance.

Standard equipment:

Each property is privately owned, furnished and decorated by the homeowner. All units are equipped with kitchen appliances, dinner and cook ware, mattress pads, pillows, bedspreads, broom and vacuum. Tenant is responsible for furnishing paper products, soaps, linens and towels.

Linen/Towel Rental:

Tenant will be offered linen & towel rentals. If rented through Carolina Shores preferred vendor, these will be delivered to your rental property by the linen service on check-in day/evening.

Taxes:

N.C. tax rates are: sales tax (6.75%) and occupancy tax (Dare County 6%, Currituck County 6%). Tax rates are subject to change.

Cancellation:

If Tenant wishes to cancel their reservation, they must send a letter stating such, along with an $125.00 cancellation fee. We will make every effort to re-rent the property. If property is not re rented, no refund to tenant will be made and balance will still be due.

Transfer:

(from one week to another or from one home to another) If available, and tenant would like to move to another week in the same home, Carolina Shores will need to receive a request in writing, along with an $125.00 move fee. If Tenant would like to move from one home to another, this would be treated as a cancellation of the first lease. Contact the office for more information.

Refunds:

Tenant will be offered Traveler’s Insurance. No refunds will be made for a mandatory Hurricane evacuation. Tenant should contact Carolina Shores regarding any inoperable equipment at the property. We will make every effort to have repairs made as soon as possible, although no refunds or rent reductions will be made for non-functioning items (such as washer, dryer, TV’s, Jacuzzi, hot tub, pool, etc.). There will be no refunds for any construction or noise from construction taking place near your property.

Lost & Found:

Carolina Shores will not be held responsible for items left in or around the property. A charge of $20.00 plus shipping will be incurred for items found and returned. Please call the office for information regarding lost items.

Telephone use:

Properties are furnished with telephones. These are for local calls only (unless advertised) as most homes have a long distance “block”. If you need to make a long distance call please use a credit card, calling card or reverse charges.

Water quality:

Most homes on the Outer Banks have county water service and a few communities have well water. While the water is safe for bathing, many visitors find they prefer to bring or purchase bottled water for drinking & cooking. No refunds will be given for discolored clothing, hair, etc. If there is a question about whether your home has well water, feel free to call the office.

Damage:

Carolina Shores Vacation Rentals offers their guests an optional Security Deposit Protection Plan through its partnership with CSA Travel Protection. This plan protects you for accidental and reported damages of up to $3,000.00 for a minimal fee. Carolina Shores Vacations reserves the right to charge the leaseholder for any damage deemed negligent; including but not limited to: excessive cleaning, theft, damage from animals, smoking in "non-smoking" homes, damage caused while under the influence of drugs or alcohol and tampering with pool and hot tub equipment. All accidental damage must be reported prior to check out.

Trip Insurance:

CSA Vacation Rental Insurance offers trip cancellation and interruption coverage. For more information contact CSA direct at (866) 999-4018.

Maintenance:

All equipment in your vacation home should be in working order upon arrival. Please report any inoperative equipment to our office promptly. We will make every reasonable effort to have the problem corrected. There will be NO REFUNDS OR REDUCTION IN RENT for any mechanical failures for items including but not limited to; air conditioning, washer, dryer, dishwasher, hot tub, pool, television, VCR or DVD, refrigerator or other appliances. There are no refunds for inclement weather or for hurricanes.

Fireplaces:

Many of our homes offer gas, wood or electric fireplaces or stoves. Wood, for wood burning fireplaces and stoves, is not provided but may be purchased at the local grocery store. These features are ONLY available for use between the months of November and April.

Errors and Omissions:
All prices and/or descriptions are subject to change. Although every precaution is taken, errors in prices and descriptions do occur on our web site and in printing. Carolina Shores Vacation Rentals reserve the right to correct any such error.
